Move Out

Levy Show Service Inc. has been designated as the Floor Manager in charge of move-in and move-out. Please refer to the Move-In Floorplan for your target delivery and set-up time.
All exhibitors that require access to the facility for exhibit deliveries (ie: those who are not shipping materials to the facility via our official carrier, Levy Show Service Inc./Events on the Move, or hand-carrying their exhibit materials) MUST report to the Vancouver Convention Centre’s (VCC) loading dock.
UNLOADING
If you require assistance with unloading your materials, including forklift service, pallet jacks or labour, please complete the Material Handling order form on the Suppliers Order Forms. These services are subject to additional charges. To save hassles and additional charges, arrive at the VCC prepared with your own compact dollies and other tools that can be safely stowed in your exhibit if possible. Vehicles will only have 30 minutes to unload once at the VCC loading dock.
HAND-CARRIABLE
If you have hand-carriable materials, SMALL, LIGHTWEIGHT TWO WHEELED DOLLIES or a “Pop-up” display, you are permitted to park underground (or in any local parking lot near VCC) and walk in the front door or use the elevators to avoid congestion. Four wheeled dollies and large materials (other than a normal armload) are NOT permitted in the front door or through the elevators. Please do not park in the loading zone out front of VCC or you will be towed.

Shipments may be sent to the advance warehouse up to 30 days prior to move-in day. All shipments must be received at the warehouse:
* The material handling services provided by Levy Show Service Inc. end with the close of the show. It is the responsibility of the exhibitor to make appropriate arrangements with a carrier for shipping following the close of the show. Please make special note of the move-out time/day, and confirm with your carrier that they are able to meet these times. Move Out Time: Thursday, February 6 (2:00 pm – 8:00 pm)

DIRECT SHIPPING TO THE VANCOUVER CONVENTION CENTRE
Exhibitors electing to ship directly to the VCC must refer to the Move-In Floorplan and follow the move-in procedures. VCC will NOT accept deliveries for the event before Tuesday, February 4. Deliveries arriving before this date will be refused.
All exhibitors shipping materials directly must complete the Material Handling order form on the Suppliers Order Forms and follow the instructions for shipping and delivery address. Your 3rd party carrier may wait in the holding lot for some time before being admitted to the facility, which could result in extra charges. If possible, please use our official carrier, as they will be given priority.

MATERIAL HANDLING
Material handling is necessary if you need labour or a forklift to unload your materials from your vehicle or if you have shipped materials via a third-party carrier. Material handling services consist of:

ON-SITE STORAGE
There is limited on-site storage during the show. If you have not booked third-party materials handling (through Levy Show Service), please make arrangements to take your empty crates off-site after moving in or to hide your ’empties’ in your booth.
Similar to move-in, Levy Show Service Inc. has been designated as the Floor Manager in charge of move-out (Thursday, February 6, 2:00 pm – 8:00 pm).
PACK UP
The show closes at 2:00 pm. Please do NOT disassemble or pack up prior to this time. Exhibitors who pack up before the show is closed will NOT be given priority. Please keep all exhibit material off the aisle carpet to facilitate carpet removal. Priority crate return and vehicle access will be given to those exhibitors immediately in front of the overhead doors.
HAND-CARRIABLE
Those with small booths (hand-carriable, small lightweight 2-wheeled dollies or 2-wheeled pop-ups) are free to remove small hand-carried materials via the front doors of the VCC as soon as the show closes. Do not attempt to use the elevators with large 4 wheel dollies or rolls of carpet; security personnel will be posted at the elevator to prevent exhibitors from boarding with material that does not conform to VCC regulations. Drivers picking up curbside on waterfront road MUST remain inside the vehicle or you will be towed.
VEHICLE ACCESS
If you need access to the building with your vehicle, at 2:00 pm, Levy Show Services will be rolling up the carpets and delivering empty crates that were stored by Levy. Exhibitors will not be able to bring vehicles into the building until the carpet is removed AND all crates are returned. When the show closes, pack up your materials so they are ready to load into your vehicle. When you are ready for your vehicle, go to the Levy Show Service desk at the back of the exhibit hall to add your vehicle to the list. All exhibits must be dismantled and removed from the Vancouver Convention Centre by Thursday, February 6 at 8:00 pm.
POST-SHOW OUTBOUND SHIPPING
The exhibitor is responsible for making appropriate arrangements with a carrier for shipping following the close of the show if necessary. As the official freight carrier, Levy Show Service Inc. will be on-site during the show to assist with the co-ordination of all outbound shipping. The exhibitor is responsible for clearly marking and labeling each piece of freight to be shipped. If material handling has been ordered and paid for, Levy Show Service Inc. will load your crated shipment onto your chosen carrier.
