REGULATIONS

Cargo Logistics Canada attracts industry professionals and all booth designs should represent and reflect a high business standard. 

Remember that flooring, electrical services, internet etc. are the responsibility of the exhibitor. Please refer to the Supplier Order Forms to order. Be sure to read the Exhibit Design Guidelines.

No display may be arranged so that an exhibitor must stand in the aisle or in front of the booth to conduct business.  Moveover, no merchandise, chairs, tables, lights, signs or other exhibitor items may extend into the aisle.  As well, the handing out of company marketing materials anywhere other than inside your contracted booth space is prohibitred.  

Any exhibits that deviate from the regulations below must be submitted in writing to Nicole Walz at [email protected] and approved prior to move-in.  Show Management reserves the right to alter displays for any exhibits that do not conform to regulations. 

Subletting Of Space

No exhibitor shall (without the written consent of Show Management), share their booth space with any other exhibitor or person, or assign, sublet or apportion the whole or part of the space to any other exhibitor or person, except to a parent or subsidiary corporation or business. The exhibitor remains fully responsible and liable under its contract for all activities of any person occupying or using its space.

The exhibitor shall not, without the written consent of Show Management, represent any other firm, corporation or individual, or advertise, distribute literature concerning, or offer for sale, the product of any other firm, corporation or individual, except as specified in its contract for space.

WALLS

Exhibitors are provided with raw space only. The booth fee does not include walls of any kind. A curtain backwall will exist for masking purposes only.  In order to maintain the overall appearance and professionalism at the show, all exhibits must feature backwalls of a “hardwall” or “pop-up” nature. This means that each exhibitor is responsible for providing their own wall for their space. Hanging banners from the curtain or otherwise relying on the drape for your backdrop is prohibited.

Your backwall and its contents must not exceed 8ft high unless authorized prior to the event. Sidewalls may be up to 8 ft. high, but only for 3 ft from the backwall – after which they must taper or drop to 3 ft. high.  Please review the booth designillustration here. 

Any exhibits that exceed these regulations must be approved in writing by Show Management prior to move-in.  Show Management reserves the right to alter displays for any exhibits that do not conform to regulations.

FLOOR COVERING

The cost of booth carpet/floor covering is not included in the booth rental; exhibitors must bring or rent their own with floor covering.  To rent carpet through Levy Show Services click here. 

Painting, nailing or drilling of floor is not permitted. Exhibitors wishing to lay tile or other floor covering, or build any structure, may not adhere it directly to the building floor. It is required that building paper, plastic sheeting, or some other suitable protection be laid on the building floor. If two-sided tape is used, it must be completely removed by the exhibitor during move-out. Exhibitors must not use masking tape, clear packaging tape or duct tape to adhere the covering to the show floor. The recommended tape is Scapa Tape which is a high-adhesion double-sided loth tape commonly used at trade shows; it leaves almost no residue upon removal. Upon removal of each booth, the BMO Centre and Show Management will inspect each space for any damages incurred by the exhibitor and to check that all materials, including tape residue left on the floor, are properly removed. Any charges to make good the exhibit space will be passed on to the exhibitor. 

All garbage, and disposal of leftover materials are the responsibility of the exhibitor, if materials are left in the booth, the fee for disposal will be passed on to the exhibitor. 

LIGHTING

It is recommended that exhibitors supplement the facility lighting with their own, or rented lighting for their display on the tradeshow floor.   
Clip lighting can be purchased from Canadian Tire, or your local home improvement store. 

ELECTRICAL

All electrical services are provided exclusively by the Vancouver Convention Centre.  Exhibitors are responsible for arranging their own electrical power which should be ordered in advance using the online ordering system. Exhibitors are not allowed to install any electrical wiring devices on-site other than regular extension cords. All on-site hard wiring and connections must be done by Vancouver Convention Centre electricians. Extension cords must be of the three-prong type (ie. grounded) and must contain wires of the proper size to carry the electrical load.

Electrical Appliances in Booth Display
All wiring must be in done in an approved manner, acceptable to the latest edition of the Canadian Electrical Code. The BC Safety Authority will not accept: 

  • open joints
  • joints that are taped
  • ungrounded wiring
  • improper box connectors

Any lighting or wiring that is not factory assembled must be approved by an accredited approval agency prior to move-in. Exhibitors will have to place an order with the Vancouver Convention Centre for the in-house electricians to correct any deficient wiring, a standard hourly rate will be charged for this service.  Exhibitors placing on-site orders to correct wiring that is not up to code will be worked on as soon as all pre-ordered items are installed. It is strongly recommended that all wiring and lighting inspections and corrections be taken care of before being brought on site.

SHOW FLOOR SAFETY DURING MOVE-IN & MOVE-OUT

Occupational Health and Safety

All exhibitors are reminded that workplace and worker safety is everyone’s responsibility. All participants at BUILDEX must comply with the legislation contained in the Occupational Health and Safety Regulation and Workers Compensation Act which is governed by WorkSafeBC.

Approved hard hats must be worn in booths where overhead work and any work above 10 ft. is being done. Show management will be vigilantly monitoring the show floor to ensure a safe work environment. Everyone must make it a priority to minimize the potential hazards and reduce the risk of injuries. Should you see a hazard or unsafe work practice on the show floor, notify show management immediately.

Safety Footwear

IMPORTANT: All exhibitor personnel involved with the move-in and/or move-out process (ie. material handling, erecting/dismantling exhibits, etc.) MUST wear CSA approved safety footwear at all times during move-in and move-out regardless of their booth size or location on the show floor. Important note: the following footwear are absolutely prohibited during move-in and move-out:  open-toed shoes such as sandals and flip flops, ballet-style shoes, crocks and high-heeled shoes.

In order to ensure that everyone understands the importance of this policy, all exhibitors are required to sign and submit the Health & Safety Declaration Form prior to move-in. 

SOLICITING

Distribution of signage, samples, souvenirs, or literature must be confined within the exhibitor’s booth space. Absolutely no solicitation is allowed in the aisles, at any show or building entrance, or anywhere on the grounds of the Vancouver Convention Centre. 

RIGGING & OVERHEAD TRADE BANNERS

All Overhead banners must be approved to be hung in advance by show management- via the Riggit and the Vancouver Convention Centre.  E-mail [email protected] for approval- and then complete the Vancouver Convention Centre order form for Overhead Sign Hanging on the Supplier Order Form

DISPLAY OF MOTORIZED & NON-MOTORIZED VEHICLES

All motorized vehicles to be displayed on the tradeshow floor must be pre-approved in writing by show management at least 30 days prior to move-in. 
All vehicles on the showfloor must comply with the following:

  • Vehicles shall not be started or operated within any assembly building during show hours
  • All fuel tank openings shall be locked or sealed in an approved manner
  • Adding or removing fuel on site or indoors is prohibited
  • Vehicle fuel shall not exceed one quarter (25%) of the tank capacity or 20 L whichever is less
  • Vehicles, boats, RV’s, trailers and similar exhibited products having over 9.3 m2 of roofed area shall have a listed smoke alarm installed.

The exhibitor remains fully responsible and liable under its contract for all activities of any person occupying or using its space.

The exhibitor shall not, without the written consent of Show Management, represent any other firm, corporation or individual, or advertise, distribute literature concerning, or offer for sale, the product of any other firm, corporation or individual, except as specified in its contract for space.

Noises, Horns And Other Alarms

Sound effects, loud speakers, stage shows or entertainment provided by exhibitors must be cleared by Show Management to avoid interference with other exhibitors.

The determination of Show Management as to whether any article or merchandise is objectionable for display at the trade show shall be final.

Dust Control Requirements During Construction Of Exhibits

The Vancouver Convention Centre would like all exhibit installation companies to use dust extraction equipment whenever possible during set-up and construction of exhibits. Shop Vac attachments for all cutting equipment is preferred. Reduced airborne particles will provide a cleaner, healthier work space, as well as reduce the amount of pre-show booth cleaning required prior to show opening.

Interpretations And Amendments

Show Management shall have full power to interpret and enforce all rules contained herein, the power to make amendments and to enact such further rules and regulations as it shall consider necessary for the proper conduct of THE TRADE SHOW.
